Last updated November 1, 2026. HelloCaller is run from Edmonton, Alberta. This page says what we store, why, and who can see it, in plain words.
Calls
When someone calls a business that uses HelloCaller, the assistant takes the call and writes down what matters: the caller’s name, number, address if they give it, what they need, and the answers to the business’s questions. The business sees this in its app and gets it by email or text. The call is only recorded if the caller agrees when asked; otherwise the assistant keeps written notes only.
What a business stores
Each business keeps its own leads, visits, calendar, team list and setup. Businesses are separated from each other in the database itself: a business can only ever read its own data. Our staff can see data only to run the service and fix problems.
If a business connects Google, we use the permissions it grants for three things only: to put visits on its calendar and change or cancel them (calendar events), to see when it is busy so callers are not offered a taken time (free/busy only, never the details of other events), and to send lead notices from its own Gmail address (send only; we never read mail). The Google sign-in token is stored encrypted and is deleted when the business disconnects. HelloCaller’s use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.
Texts and email
Lead notices go to the people the business chose. Customers are only texted when they asked for a text.
Keeping and deleting
A business can delete its events and leads from its app at any time and can ask us to close the account, which removes its team’s access. Records a business is required to keep (for example, a signed visit confirmation) stay for as long as the law requires, then go.
